Issue education records: step by step

Check what you need to do to issue education records to pupils.

  1. Step 1

    Education records will be issued by members of staff who know the pupils. Identify pupils in year 11 who are going to get their education record. Also find members of staff who know the pupils and can vouch for them when they get their education records.

  2. Step 2

    Your staff will need DfE Sign-in accounts. They will need to be added to the issue education records service in the data issuer role.

  3. Step 3

    You can create groups to divide up your pupils. You can assign members of staff to groups, and they will vouch for pupils and issue records.

  4. Step 4

    You can manage the groups you have set up, and the staff assigned to them, by adding or removing pupils or changing group names.

  5. Step 5

    The pupil must have their mobile device and be sat with the member of staff issuing the education record. The member of staff selects the pupil from the list and confirms that the pupil sat with them is the pupil on the education record.

    We recommend the pupil downloads the DfE education record app before having their record issued. You can still issue education records to pupils that do not have the app downloaded.

  6. Step 6

    A QR code will then be generated on the member of staff's screen for the pupil to scan in the DfE education record app. Scanning this QR code will issue the pupil's education record.

    It takes around 5 minutes to issue each education record.
